How do you make a wedding seating chart?

Do not start the seating chart until RSVPs are closed and the final count is in, because every change cascades. Then work in tables rather than in seats: group people first, place the groups in the room, and only assign individual chairs if your caterer needs it for a plated meal.

Group first, place second

Sort guests into natural clusters - college friends, your partner's cousins, work people, the neighbours - and treat each cluster as a block. Most clusters are close to a table's worth, and the ones that are not get combined with the group they will most easily talk to.

Then place the blocks in the room. Older guests away from the speakers. Small children near an exit. The friends who will dance nearest the floor. People who need to leave early near the door.

The decisions people agonise over

Divorced parents. Separate tables, both near the front, equal distance from you. Ask each of them privately what they would prefer rather than guessing.

The singles table. Do not build one. Seat people with those they will actually enjoy; a table constructed from unrelated people who share only a relationship status is visible to everyone sitting at it.

Your own table. A sweetheart table for two, or a head table with the wedding party, or joining a table of friends. All normal. A sweetheart table means you will speak to almost nobody during dinner, which some couples want and others regret.

Assigned tables versus assigned seats

Assigned tables with open seating at them is enough for most weddings and is far less work. Plated dinners with multiple entrée choices are the case where caterers genuinely need assigned seats, so ask yours before deciding.

Whatever you choose, a legible escort display at the entrance is what prevents a queue. Alphabetical by surname, not grouped by table - guests know their own name, not their table number.
