- Every place setting is a chair, a linen, a plate, three glasses and flatware. The list scales exactly with the list.
- Whether the site has anything
- A bare field needs power, flooring, lighting and restrooms before a single table arrives. This is the difference between a $3,000 rental order and a $25,000 one.
- Delivery, setup and strike
- Often 15-25% of the order, sometimes more for a difficult site or an overnight strike.
- Upgrade tiers
- Chiavari chairs instead of folding chairs, or a specialty linen instead of standard, is typically $4-$12 per guest each.
- Tents
- Priced by size, sidewalls, flooring and lighting - and a tent almost always brings power and climate control with it.
- Peak weekends
- Inventory is finite locally. On a busy Saturday the item you want may simply not exist within a hundred miles.
How to spend less without regretting it
- Choose a venue that includes things
- A venue $2,000 more expensive that includes tables, chairs, linens and china is usually cheaper overall. This decision is made before you ever talk to a rental company.
- Upgrade the chairs, not everything
- Chairs are in every wide photograph. Flatware is in none.
- Consolidate suppliers
- One order delivered once beats three orders delivered three times, each with its own fee.
- Confirm what the caterer brings
- Caterers frequently include china, glassware and flatware. Couples routinely rent these twice.
When to book
Six to nine months out, and much earlier for tents and anything on a bare site. Final counts are usually adjustable until 2-3 weeks before.
